The CPGA are looking to appoint a contractor and an administrator as part of the development of the sport.

The Cornish Pilot Gig Association is a charity and the governing body of the sport of Cornish Pilot Gig rowing. Based at Krowji in Redruth, the CPGA runs a sport with 86 member clubs and an estimated 8000 participants.

A Contractor 

‘Our Community – Our Sport’ 2022-2027 outlines the introduction of an individual membership subscription scheme. To these ends the CPGA is seeking a contractor to undertake the design, implementation and successful delivery of the new scheme and related activities.

The contractor is required to develop and deliver the following outputs:

Activities

  • commission, develop and deliver a new membership management system
  • provide structured training opportunities for CPGA team and club officials regarding new system workflow
  • design financial systems to facilitate the implementation of the scheme
  • create and publish online and printed materials to explain and promote the scheme
  • generate member benefits including e-communications (e.g. newsletters), discounts and printables
  • recruit and coordinate an interim umpire team to support quality championship provision
  • liaise with selected championship hosts to ensure the smooth implementation of membership requirements at listed events
  • coordinate the formal launch of the membership scheme
  • attend selected events to promote scheme and secure sales (against existing targets)
  • report progress on or before the end of each month

Timeline (subject to change):

17th February     contracted awarded

21st February     work commences

March                  commission software

May                      software and financial systems in place and testing complete

June                     launch of membership scheme

31st October      contract completion, whereupon a final assessment report and presentation will be required before final payment.

An Administrator

The CPGA has recently undertaken a project to secure the sport and we have subsequently introduced a Five Year Strategy which will be both challenging and exciting. We are looking for someone who will hit the ground running, deliver existing activities and help to introduce new workflow systems. They will need to have excellent administrative skills and be flexible and adaptable to meet the challenges of working in a small and busy team.

This is a part-time role that requires a daily presence throughout the week. There will also be weekend and evening work may be required and you will need to be able to work flexibly to accommodate this. This contract is offered on a 1 year term basis in the first instance due to ongoing restructuring of the organisation.

The CPGA is a charity led by volunteer Trustees. It is therefore essential that you are reliable and willing to get stuck-in! The main responsibilities are listed below, however these are subject to change as the needs of the organisation evolve.

Key Responsibilities

General Administration
• First point of contact with the general public by telephone, email and via queries from the website
• Management of incoming and outgoing correspondence (postal and electronic)
• Inbox management and dissemination
• Maintenance and updating of the filing systems, including those held electronically
• Organisation of meetings, to include compilation and sharing of papers and booking of meeting rooms
• Minute taking of meetings
• Maintenance of the CRM database to ensure details of volunteers and mailing list recipients are recorded accurately and in a timely manner
• Coordinating diaries of trustees & team members, including volunteers
• Main point of contact for volunteers and monitoring their experiences
• Circulating documents before/after meetings
• Booking meeting accommodation and organising appropriate equipment (projectors, flipcharts etc.)

Events
• Support the wider team to plan, organise and run events and activities online and in-person
• Liaise with external partners to arrange venues and services
• Assist with the creation of a rolling calendar of events and activities

Finance
• Support financial activities as required, this will involve financial and accounting administration using selected software
• Maintain and update the Membership database, update membership payments and process renewals and new memberships
• Process sponsorship and grant documentation, ensuring that the necessary record-keeping and correspondence is undertaken

Other
• Attendance at meetings and events to represent the CPGA
• Assist with the preparation of newsletters
• Contribute to data analysis and reporting activities in line with policy
• Support the wider team to achieve strategic aims

Key Accountabilities
• Reporting to Trustees and specified contractors
• Working closely with contractors and partners
• Working with volunteers

Skills and Experience
We are looking for an enthusiastic, flexible and adaptable person with excellent administrative and organisational skills as well as a keen eye for detail.
